Marketing and Executive Assistant

 
Job Summary

This position will be responsible for providing “right-hand” general administrative support to the Executive Management of a fast paced and highly technical DoD engineering contractor. This individual will also be the principal point of contact to coordinate and manage marketing and outreach activities with professional and small business organizations on behalf of the Executive and Business Development staff.  This high energy and polished professional loves variety and challenge, and is highly effective and accurate in all levels of work. This individual is adept at working in the relaxed atmosphere of an engineering environment which is punctuated with high profile guests and military protocol.   This individual is self motivated, experienced in multi-tasking, excels in completing assignments on time despite multiple interruptions, and shines under pressure. Has an “advanced” proficiency in most Microsoft software products.  Due to the critical nature of the duties, accuracy and confidentiality are absolutely essential. Candidate must have schedule flexibility to address periodic meeting and urgent requests. 

 
Job Description

Duties will include the following :

  • Serves as the right-hand of Executive Management in all interfaces with customers. This includes phone, email screening, meeting scheduling and coordination, and contact lists and NDAs.
  • Coordinates all arrangements surrounding high level meetings such as those with customers, high ranking military officers and members of the Board of Directors and assist in document production.
  • Is the principal point of contact to coordinate and manage marketing and outreach activities with professional and small business organizations on behalf of the company.  This includes scheduling meetings and speakers, managing meeting logistics, sending notices and materials to attendees, and general communication.
  • Supports a wide variety of customer/visitor interfaces including routing incoming calls, greeting visitors, correspondence, and mail.
  • Tracks  domestic and international travel arrangements for NAVSYS staff, and sets up and coordinates classified meetings and visit requests
  • Prepares correspondence and written communications on behalf of the Executive staff. Also assists in the preparation and production of technical and business proposals and documents.
  • Assists with general corporate communications, including press releases and newsletters, and is responsible for developing and maintaining the websites.
  • Is responsible for planning, writing, editing, and the production and distribution of a company newsletter which is distributed to key customers and constituents.
  • Provides assistance to the Business Development Director in planning and preparation of trade show materials, trade show staffing and trade-show follow-up.
Requirements

The following are requirements for consideration:

  • US Citizenship is required.
  • Ten years experience in an executive assistant and a public relations or marketing role.
  • Likes closure - to complete tasks and make sure things get done correctly the first time.
  • Is experienced with or familiar with military protocol
  • Has advanced proficiency in use of Microsoft products including: Word, Outlook, Excel, PowerPoint, Visio, and moderate proficiency with Publisher, Access and Adobe Acrobat.
  • Has experience in preparing professional quality graphics.
  • Skill and experience in website design and maintenance.
  • Excellent verbal communication skills and comfortable with professional communication with NAVSYS military, business and engineering contacts
  • Excellent writing skills including composition, spelling, and grammar and publication layout.
  • Must love dogs
  • Laughs under pressure
Citizenship, Education, and Security Clearance
  • U.S. citizenship is required.
